Congratulations! Your wedding day is fast approaching, and it's time to ensure everything goes off without a hitch. I start this process at least 60 days before the set date, but sometimes I whip it up for couples I just onboarded with just a month to go! The day-of timeline is created with the couple’s visions and dreams in mind, including the venue, vendors, and VIPs. In this guide, I'll dive deep into the process of crafting a flawless wedding timeline that guarantees a smooth and memorable celebration from sunrise to sunset. Get ready to turn your dream wedding into a reality with our expert tips. Let’s start this journey by setting everything up for you to be a guest at your elegant event.

The Significance of a Well-Structured Timeline

Your wedding day timeline is the blueprint for a seamless and unforgettable experience. Meanwhile, the photography team floats around from room to room capturing the special moments. These easygoing morning routines symbolize the beginning of an incredible journey together, setting the stage for a day filled with love and laughter.

  • Bridal Party Prep: Hair, Makeup, and Getting Ready

Bridal party prep is a time for bonding and creating memories as hairspray and laughter fill the air. Behind every flawless look is a team of beauty magicians, working their magic to ensure everyone feels like a star. From intricate hairstyles to flawless makeup, these professionals turn pre-wedding jitters into moments of sheer glam, setting the tone for a day of elegance and celebration.

  • Groomsmen's Checklist: Final Touches and Getting Dressed

For the groomsmen, the morning is all about mastering sophistication amidst the chaos of last-minute preparations. As they get on their handsome suites and share camaraderie, there's a sense of excitement in the air, signaling the start of an unforgettable day. And don't worry, I remind all the dudes at the rehearsal run-through to be sure to pack and bring their un-awares as the wedding day is a day of memories, not forgetfulness!


Ceremony Details: Where Dreams Become Reality

The ceremony is the heart of your wedding day, where vows are exchanged and love is celebrated. It’s a time where two unite as one and promises of a lifetime are shared! It’s important to make sure that everything is set up, in order, and ready to go for a flawless ceremony well before you even walk down the flower-petaled aisle!


  • Venue Arrival and Setup

Efficient venue setup is crucial for creating the perfect ambiance for your ceremony and reception. With careful coordination among vendors and venue staff, it’s my eager willingness as a professional wedding planner, who's hopefully also your day-of facilitator there to manage and coordinate everything, to make sure every detail is meticulously arranged to ensure a breathtaking setting that reflects your wedding day vision. Between flowers and bows and proper ‘Saved Row’ signs, the venue setup for your ceremony is one of my favorite areas of focus!

  • Guest Arrival and Seating

Once we’ve lit the candles, made sure the programs are ready to go, and all the rows or pews are clean and tidy, it’s time for the guests to come in. Creating a welcoming atmosphere for your guests is essential for setting the tone of your ceremony. From warm greetings to organized seating arrangements, thoughtful planning ensures that everyone feels like an honored guest. And for those who are always ‘late to the game’, there is an extra row in the back that I like to call the ‘time out row’ as they have to sit there quietly and allow for the ceremony to continue without any disruptions or disturbances. Hence the ‘time out’ phrase I throw in there - no one is going to stop you and your fiance from giving your vows with their loud key ring jingling and click-clacking of shoes on the beautiful floor!


  • Processional Timing and Order

The processional sets the stage for your ceremony, with each entrance carefully coordinated to create a seamless and elegant transition. During your rehearsal, when I conduct the ‘rehearsal run-through’ with you and your crew, we establish a clear order of procession that ensures everyone knows their role, allowing the ceremony to unfold flawlessly. From the seating of the grandmas to the flower girl's petals hitting the floor that the gorgeous bride will glide over to her patient partner, the processional is one of the most sacred times of the entire wedding!


  • Vows and Ring Exchange

The exchange of vows, promises, prayers, and rings are all cherished moments that symbolize the beginning of your journey together. With careful attention to detail, these magical moments are orchestrated to create lasting memories for you and your guests. Remember that this is your day, it’s about you and your partner, and it’s a time to reflect on your ‘why’ behind the ‘I do’. Take some breaths, remember to look at each other, and know that my team and I at Elegant Events by Leece have tissues waiting for you when you come down the aisle! We’ll quickly dab away any splotches that need to go away before the photography team has you stop and take some photos as you exit to your post-ceremony activities!


  • Recessional and Post-Ceremony Activities

As you joyfully exit your ceremony area with a breathtaking recessional, the celebration continues with post-ceremony activities. You and your partner might get your ‘golden hour’ photos done with the sun setting behind the majestic Blue Ridge Mountains in the background, or maybe you have mid-day garden photos behind the historic inn you rented out, or maybe you take a plate of snacks and go hide in the bridal suite together for a while your photographer captures memories of your immediate family and bridal party. Whatever it is that you do, make sure that you’re having fun and doing what you want to. After all, it’s in the detailed timeline that I wrote with you and then shared with all your important vendors and VIPs! Whatever you pick and choose, these moments are all about letting loose and creating memories with your loved ones.


Reception: A Night to Remember


  • Grand Entrance and Dinner Service

The reception kicks off with a grand entrance, introducing the newlyweds to their guests amidst cheers and applause. Maybe some cool dances take place to get everything flowing smoothly, or maybe it’s just a quick prayer with a short toast. Your guests are all set to get ready to party, or sit down, or maybe go outside to enjoy the crisp evening air. My team and I work closely with the venue staff and catering team to make sure you get fed first. After all, you’re the guests of honor! After your bellies are filled, the guests' dinner is served and they will enjoy a delicious meal. Sit down or buffet. Fillet or veg. Soup or Salad. Or PB&J. Whatever you style, your guests will enjoy their grub while you, the newlyweds, mingle and share special moments with your loved ones. You can also sit at your table and let the guests come to you to say ‘hey’ or have no one say anything and just eat! Everything is up to you and is set up well in advance so you don’t have to worry about a single thing, other than celebrating with your spouse. 


  • Toasts and Special Dances

As the evening progresses, heartfelt toasts and special dances add a personal touch to the celebration. These touching moments create lasting memories for you and your guests, filling the room with love and joy. You might have a special dance with another loved one, like your great uncle or your ‘auntie’, never veer away from choosing to do what you feel is right to share the most important day with your cherished loved ones.

  • Cake Cutting and Bouquet Toss

The cake cutting and bouquet toss add a playful element to the festivities, creating moments of laughter and fun for everyone to enjoy. These traditions are a chance to celebrate with your guests and create cherished memories that will last a lifetime. Sometimes there’s even a garter toss or a special ‘gifting dance’ where family and friends make a special donation into the sacred bag before dancing around the dancefloor with you! Whatever the special memory is, it’s yours to keep forever. And hopefully your baker or caterer told you, but I definitely will make sure the cake you cut into, at least the top layer, is taken home by someone else to wrap up and put in the freezer! That way, after you come home from your special night or your honeymoon, you have your cake all squared away. That way, you two can eat it when you celebrate your very first wedding anniversary together!
